MOVE OUT INFORMATION

Plan ahead! Make any necessary arrangements to ensure that your unit is cleaned, and that you and all of your belongings are out of the space before noon on your move out day.

CONTRACT END DATE

Your contract expires 24 hours after you have completed your last final exam or 12:00pm (noon) on May 1, whichever comes first.

Failure to move out by this time will result in an improper move-out penalty ($85), plus lock change ($125 per lock) and key replacement costs (see fees).

Once your keys are returned to Residence Services upon move out you are not permitted to return to your room/unit.

EXTENSIONS

Extensions will only be granted for academic reasons (field course, deferred exam, etc.). If you require a nightly extension, not to exceed May 8, 2018, you must complete and submit the Application for Extension form (available in March) and other required documents by March 29, 2018. All extensions must be approved by Residence Services. Applicants will receive approval or denial by email to their UAlberta email by April 10, 2018.

Please note that conference groups will be accommodated in Lister Centre beginning the first week of May, so if your extension request is approved, you may experience noise disruption.

For long term extensions, please review the Spring/Summer student housing information. Residents who have a confirmed space in residence for the spring housing term will be required to transfer to their spring room assignment on May 4, 2018.

SHARED UNITS

You must notify your roommate(s) of your move-out date if you are moving out separately. All occupants should work together to ensure the cleanliness of the common areas for a successful move-out. Your roommate(s) should be made aware that they can expect a move-out inspection soon after you return your keys (during business hours).

You must submit a Notice to Vacate form no later than the first day of the month to be effective the last day of that month. Failure to submit one full calendar month prior to your vacate date will result in an insufficient notice charge of one month's rent. The completed form can be dropped off at any Residence Services Office or emailed to housing@ualberta.ca.

As you begin preparations to move out of residence, remember that you can donate and recycle anything you plan to leave behind. Donation bins are conveniently located right in your residence area! Bins are provided for: old electronics, non-perishable food, toiletries, clothing, household items, and furniture.

What you can donate and recycle

Our community partners make sure anything you drop off is properly recycled, or given a new life as a donation.

  1. Non-perishable food and toiletries
    Unopened & non-expired: canned foods, pasta, peanut butter, etc.
    Full or partially used: shampoo & conditioner, soaps, moisturizers & lotions, etc.
  2. Electronics Waste
    Broken and unusable: computers, laptops, televisions, keyboards, printers, mobile phones, batteries, etc.
  3. Clothing, furniture & household items
    Clean & functional: kitchenware, small appliances and electronics, clothing, shoes, dishes, games, home decorations, furniture, etc.

Key Return/Move-Out Envelopes can be picked up at any Residence Services Office or the Student & Guest Services Desk in Lister Centre. Before you return your keys, make sure you clean your unit according to the cleaning guide for your unit type, remove all your belongings from the unit, close the windows, turn off the lights, and lock your door(s). Once your keys are returned, you will not be able to access your unit again.

When ready, deposit the following into your Move-Out Envelope:

  • Keys: entrance (if applicable), unit, bedroom and mailbox keys.
    **Remove all keys from key chains or lanyards before returning keys**
  • Temporary proximity card (if applicable)
    **Please tape or seal the envelope. Do NOT use staples**

 

DO NOT deposit your ONEcard in your Move-Out Envelope! You must keep your ONEcard - it is your official UAlberta identification.

Return your Move-Out Envelope to your Residence Services Office. After-hours move-out envelopes may be deposited in the drop box outside your Residence Services office or handed in at Student & Guest Services at Lister Centre.

The Lister Centre Student & Guest Services Desk will be open 24 hours/day to accept Lister Resident Move-Out Envelopes.

Be sure to remove all of your possessions from your unit, including the storage and common areas. Residence Services does not offer a lost and found service. We will dispose of any items left behind in rooms or common/shared spaces. If you are leaving any furniture behind in a unit with roommates, your roommates must accept responsibility for these items in writing to the East Campus Residence Services Office or you will be responsible for the cost of their removal.

In addition to cleaning your room, you must contribute to cleaning common areas. Talk to your RA, roommates and floormates about how you will each contribute to cleaning the common areas.

If you require cleaning assistance, there are many third party cleaning businesses in Edmonton. If you choose to hire a third party, the cleaning standards outlined by Residence Services must be met.

Avoid cleaning charges by following the appropriate cleaning guide for your residence:

Before you complete your move-out, be sure to remove all garbage from your room and unit shared space and place it in the containers in the designated disposal area to avoid any unnecessary charges.

Move-out inspections are completed by Residence Operations after you have completed moving out and have returned your keys.

If you have general questions about moving out (e.g. roommate responsibilities, cleaning, charges etc.) please contact your Residence Services Office or Residence Life staff, in person or by email. You may also request to have a Residence Inspector meet with you (prior to your move out date) to go over the cleaning expectations and to provide some tips for a successful move out.

You are not required to attend your Move Out inspection. However, if you wish to be present during the inspection, you must email housing@ualberta.ca to make an appointment in advance, no later than 10 business days before your move out date, and we will do our best to accommodate your request. Please note that all inspections take place Monday to Friday during regular office hours, and are subject to a date and time when inspection staff is available. All belongings must be removed, cleaning must be complete, and your keys must be returned to the appropriate Residence Services office prior to the Move Out Inspection Appointment. You will not be permitted to return to the unit/room after the inspection is completed.

If an appointment has not been confirmed 10 business days prior to your move out date, we will automatically consider your official move out inspection to be after 12:00pm (noon) on the date provided on your Notice to Vacate. Keys must be returned no later than 12:00pm (noon) on the date provided on your Notice to Vacate. The move out inspection will be scheduled as soon as possible after the keys have been returned.

Your room and the common areas will be inspected for damages and cleaning once you have moved out. All cleaning and damage charges will be billed to your account and deducted from your security deposit. If the charges on your account exceed the amount of your security deposit, you must pay the outstanding balance immediately or a hold will be placed on your University account. You will not be able to access your University transcripts or register for any classes until your balance is paid in full.

Please be advised that damage and vandalism charges may have been assessed on a continuous basis throughout the year. If we are unable to identify those responsible through our investigations, charges are divided equally within a wing, floor or entire building, depending on the type and location of the damage. As such, your account may have incurred numerous small charges that have added up to a large charge over the year.

Residence Services accounts will be updated as charges are assessed so regularly check your account.

Due to the volume of residents moving out at the end of April, it may take up to six weeks to receive all Residence Services refunds for which you are eligible. Please note that your refund may be processed to the credit card used to submit your residence application.

Lister Hall Residents:
The full amount of your meal plan will remain on your ONEcard until used. At the end of your residence contract, any remaining funds will be transferred from your meal plan account to a Taxable Meal Plan account on your ONEcard. These funds may then be spent at the same locations that your Meal Plan is accepted.

  • To check your meal plan balance (including the Taxable Meal Plan after May 1), login to your ONEcard account online.
  • Meal Plan funds are non-transferable. This means that funds cannot be transferred to another resident’s ONEcard.
  • Meal Plan funds are non-refundable. For more information, review your Residence Agreement or visit the ONEcard Website.
  • Spring/summer residents can add money to their ONEcard and use it at participating food service outlets or use the funds in their taxable Meal Plan account (if applicable).

Peter Lougheed Hall Residents:
Access to the PLH Meal Plan and dining location will terminate at the end of your residence contract. There are no refunds for the PLH Meal Plan. MealPlanFlex funds will remain on your ONEcard account and continue to be available for use at select dining locations across campus, even after your residence contract is complete.

 

Parking regulations must be followed while moving out. Do not park on the grass or in other NO PARKING areas.

If you park your vehicle in a designated parking space, you must purchase a permit from the dispensers.

If you stop your vehicle in an emergency access lane, the driver must remain in the vehicle, in the event that emergency response professionals require access, or you risk being ticketed and/or towed.

Please be courteous and move your vehicle as soon as it is loaded to allow others to load their vehicles.

Residence Services is unable to forward mail that arrives after move out. All mail that arrives after you move out will be returned to the sender.

You must contact your bank, phone company, etc. to change your address before move-out.

You may visit Canada Post for information about redirecting mail, but please note that Canada Post will not forward or redirect mail from a dormitory or shared delivery address (Lister Residence).

For residence-related correspondence, remember to update the forwarding address on your Residence Account.

You must personally notify any outside internet, cable or telephone providers of service cancellation, and return any equipment provided to you by Shaw or Telus. Leaving equipment in your unit will result in charges.

If you are planning to move off campus, your prospective landlord may ask permission to do a tenant reference check before offering you accommodation, which includes account and behavioural information.

Due to the Freedom of Information and Protection of Privacy Act, Residence Services cannot release any information about any of our residents, past or present, without written permission from the resident.

To release your information, we require completion of the Residence Services Tenant Reference form, available online at bit.ly/ResAccount.

Please note, once a resident has given us permission to release their information, Residence Services will only release information over the phone to your prospective landlord as the volume of these requests does not allow time for us to complete questionnaires.
